For Essential, Business and Enterprise plan users, our Requests feature allows team members without transfer permission to initiate a transfer request on behalf of an Admin, a Manager, or an Owner, who can then approve or reject it in just a few clicks.
This makes it easy to delegate payments while keeping full control over who authorizes outgoing funds.
Who can submit and approve transfer requests?
All roles can submit a SEPA transfer request. However, only certain roles can approve it:
- Owner and Admins: can approve any transfer request.
- Managers: can approve requests within the monthly or per-transfer limit, set beforehand by the Owner or an Admin.
☝️ The Manager role is only available with the Team Spend Controls module. Managers with Company-wide scope can also initiate transfer requests directly from the Supplier invoices section.
To submit a transfer request in euros, you must enter all the required information in the "Transfers" tab of the "Business account" in the main menu. Then click the "Make a transfer" button in the top right of your screen.
How do I submit a transfer request?
To submit a transfer request in euros, go to Requests in the main menu and click Make a request in the top right of your screen.
You can then choose between two options:
- Upload an invoice: if you have an invoice at hand, upload it directly. Qonto automatically extracts the available information (beneficiary name, IBAN, amount, reference). You can check and edit each field before submitting your request.
- Add the transfer details manually: if you don't have an invoice, enter the details yourself by following the steps below.
How do I enter the transfer details manually?
If you don't have an invoice to upload, follow these steps:
- Go to Requests and click Make a request
- Select SEPA transfer in euros
- Choose an existing beneficiary from the list or add a new one
- (Optional) Enable beneficiary notification to send them an email with the transfer details
- Enter the required information: account to debit, amount, category, and reference
- (Optional) Set up scheduling and recurrence to set a future execution date or make the transfer recurring
- (Optional) Add a supporting document, mandatory if the amount exceeds €30,000
- Add an internal note explaining the purpose of the transfer
- Check and confirm your request
💡 If strong authentication is enabled on your account, you'll receive a confirmation request on your associated phone.
What happens after I submit my request?
Once you submit a transfer request, your Admins and Managers are notified by email and push notification.
As soon as one of them approves your request, it is validated and executed the next morning. You will then receive an email confirming the successful execution of your transfer.
If needed, you can cancel a pending request at any time before it is approved by an Admin or a Manager.
How does instant transfer work for my requests?
One-off, scheduled, and recurring transfers are configured as instant transfers by default.
- One-off transfers: you can uncheck the instant transfer option at the Final check step of the process to send a standard transfer instead (received within 48 business hours).
- Scheduled and recurring transfers: if an instant transfer is rejected due to an amount limit or a technical issue, it is automatically reprocessed as a standard transfer (up to 48 hours to reach the beneficiary's account).
