How to import my receivables invoices in bulk?

If you want to centralise your invoices in one place to simplify accounting, bookkeeping and cash flow management, Qonto offers a simple way to import and store all your client and supplier invoices and documents. This feature allows you to import client or supplier invoices into Qonto to speed up accounting and make it easier to track revenue.

This feature is available for all plans.

 

How can I import invoices into my Qonto app?

Only Account holders and Admins can import invoices, by following the steps below:

  1. Go to the Invoices section
  2. Click the Import invoices button in the top right corner
  3. Browse and select the invoices you want to import.

Invoices will be automatically processed and matched to an existing transaction if one already exists. If automatic processing cannot find a match, you can also manually link your imported invoice to transactions in your Qonto account.

This feature is available on both the web and mobile apps.

However, on mobile, you cannot import invoices; you can only edit and match invoices that have already been imported.

 

Can I automatically import my invoices from another tool?

Yes, this is possible thanks to Chift, an integration that allows you to connect any invoicing tool such as Stripe, for example, to your Qonto account.

This will allow you to import your client list and historical client invoices from other services into your Qonto app.

 

How can I set up automation with Chift?

To import and/or sync your client invoices, please follow the steps below:

  1. Go to the Sales > Client invoices
  2. Click the Enable integrations and tools button 🔌
  3. Press Import Sales > Client invoices
  4. Browse and select the integration you use, then press Connect
  5. Enter your login credentials for the integration tool to establish the connection.
  6. Select the period for importing your invoices.
  7. Manage imported invoices, including automatic matching with transactions (where available) and sending payment reminders.

 

If you have a Business or Enterprise plan, you can sync invoices with Qonto and import them as they are created from connected tools.

 

How many invoices can I import automatically with Chift?

  • For Business and Enterprise plans, you can import an unlimited number of invoices.
  • For all other plans, the limit for automatically imported invoices is 50. Once this number is reached, you can import new invoices directly from the Qonto app.
     

What file formats are accepted?

You can import invoices in PDF, PNG or JPEG formats.


Can I get paid via an imported invoice? 

Yes, you can get paid via an imported invoice. Once you have imported an invoice, you have two options to send it to your client and collect payment:

Send the invoice without online payment
 
To send your imported invoice to a client, simply open it from the Client invoices section, add the client information and invoice details, then send it.
 
Send the invoice with online payment
 
If you want to make payment easier for your client, you can enable online payment methods. After opening your imported invoice and adding the necessary information, select Add online payment methods and choose to enable payment by card or another method such as Apple Pay or PayPal.
 
Once the invoice is sent, it will appear in the Pending tab. When your client has made the payment and the corresponding transaction has been completed, the system will automatically update the status to Paid and the invoice will move to the Completed tab.
 

Can I import files other than invoices, such as quotes or credit notes?

You cannot import quotes, but you can import credit notes, which will be processed and matched to a transaction, if one exists, in the same way as an imported invoice.


 

Where can I find my imported invoices that have not been matched to a transaction?

These invoices will appear in the Pending section of the Client invoices tab. From there, you can manually mark the invoice as paid once payment has been received, which will move the invoice to the Completed section.
